the OCR (Optical Character Recognition) is a text recognition system that makes it possible to read and search content from documents. In the context of SAP Business One, the document management system CKS.DMS uses OCR: it captures documents and tags the archive.
Beam detection with cks.ADC
The OCR recognition in cks.ADC runs via IRIS. cks.ADC reads defined parameters from a document and generates a captured record in SAP Business One. The record contains the values that have previously been entered manually. If cks.ADC finds an earlier record, such as a delivery note for an invoice, it links it as a base record and compares the values. cks.ADC highlights any discrepancies in quantity or price.
In the capture profile, the „Target document type“ setting should be set to „Automatic (OCR)“. This setting recognizes invoices and credit notes, but does not distinguish between invoices and incoming goods. cks.ADC operates semi-automatically: an employee reads the documents and starts the recognition process. cks.RUN ADC, which monitors an Exchange mailbox, operates fully automatically.
Full-text search in the archive
With each document, CKS.DMS performs OCR-based keyword recognition. This recognition assigns searchable terms to the search. The search in the archive takes advantage of this tagging.
Reference to the Versino accounting service
The Versino accounting service uses CKS.DMS with full-text search and OCR text recognition. The service digitally recognizes incoming invoices via CKS.DMS or candis.
Demarcation
In addition to cks.ADC, the automatic document capture system supports two other areas: ZUGFeRD and ESR. ZUGFeRD is a PDF file with embedded XML structure. SAP Business One reads such documents using the electronic document import wizard.
