E-invoicing in Germany: How to implement the obligation with SAP Business One

That Standard bearing in SAP Business One is the predefined storage location that the system automatically suggests in transactions such as purchase or sales documents when an item is used.

A preferred warehouse can be specified for each item in the item master data. This standard warehouse is used by the system as an automatic default setting to efficiently and consistently pre-fill storage locations in documents. If no specific warehouse is selected manually, SAP Business One falls back on this default setting.

The standard warehouse is mandatory for all stock-keeping items and plays a central role in process automation - particularly for document postings, the Material Requirements Planning (MRP) and resource allocation. Even if a warehouse is not specified in a document, the system ensures smooth processes by using the standard warehouse.

Hierarchical determination in SAP Business One
SAP Business One determines the standard warehouse using a fixed prioritisation logic:

  1. Article-specific standard bearing
    Highest priority: Directly in the Article master Definable via the warehouse data. This warehouse is preferably used in documents.
  2. Company-wide standard warehouse
    If no standard warehouse is stored at item level, the system uses the globally defined warehouse (path: Administration > System initialisation > General settings > Stock > Articles).
  3. Alphabetical fallback
    If neither an article nor a company standard warehouse exists, the warehouse with the alphabetically first warehouse code is used as the standard.

Differentiation from related terms
In contrast to the Storage location, which is merely a physical location in the system, has the Standard bearing has a functional meaning: it controls the automatic allocation in transactions on the system side. It is therefore a logical default setting, not just a geographical or organisational description.

Example for illustration
An item „Sheet steel A“ is assigned to the warehouse „CENTRAL“ as the standard warehouse in the item master. If this item is now used in a sales order, SAP Business One automatically proposes „CENTRAL“ as the storage location - without manual input.

Special features in the administration

  • When a new company is created, the system creates a warehouse with the code „01 - General warehouse“, which cannot initially be removed.
  • To replace or delete this bearing, an alternative standard bearing must be defined.
  • A standard warehouse must also be stored for resources, which can be defined centrally in the settings.
