
Team counting is a specific scenario within the Inventory Counting module in SAP Business One where the results of a group of counters for an item at a storage location are aggregated into a single total quantity to validate counted inventory quantities, especially at large storage locations. In the SME environment, the term team counting is defined as part of the counting type „Multiple counters“. If this count type is selected, team counters can also be designated in addition to individual counters. Team counters are persons who participate in the inventory They can be defined either as SAP Business One users or as employees without direct system access. In addition, in the case of the „Multiple counters“ count type, a maximum of 10 team counters can be selected for a count document.
As soon as at least one team counter has been selected, the dedicated Team Counting tab appears. This tab is used to manually enter the counting results for each team counter; it is also possible to enter batch information. The sum of the quantities of an item counted by the group is then aggregated as the total quantity counted by the team (Team Counted Quantity). This value is copied to the Individual section of the stock count document and displayed there, but cannot be edited. If only team counters exist, the field for the total quantity of the team is not displayed.
Team counting also supports validation and deviation calculation. The total quantity counted by the team is compared with the quantities counted by the individual counters; however, the results of the team counters are not compared with each other. The Max. Deviation field shows the largest deviation between the stock quantity on the count date and the counted quantity of the counters, whereby the total quantity counted by the team is included in the calculation. The percentage of the deviation that leads to this field being highlighted in yellow can be defined in the SAP Business One client under Administration → System initialisation → Document settings → Per document → Stock count.
Other processes are also integrated. When working with team counters, the input help symbol for specifying details must be used. Units of measure (ME) is also available in the Total quantity counted by team field. When importing count results from Microsoft Excel, a positive quantity must be entered for all individual counters and at least one team counter when using individual counters and team counters. Finally, only an outline report is printed for the team count; the count results of the individual counters are not printed in this outline report.
Demarcation:
Team counting differs from pure stock counting with individual counters in that the quantities of several team counters are summarised into a common total team quantity. While each counted quantity remains separate with individual counters, team counting summarises the results of a group into an aggregated team quantity and also uses this as a basis for comparison and validation against the individual counter results and the stock quantity on the count date.
