One resource In SAP Business One, a master data object is used to represent machines, work, or other resources that a company needs in its production process. Resources are used in the Production and Project Management modules, as well as in the Work Timebook module for personnel. Indirectly, they also influence material requirements planning. Working with resources sharpens the focus on the costs of projects and finished products and helps better control the time factor.
Contents of a resource
The user maintains resources under resources • Resource master data. The resource master data bundles three types of information. General information includes things like name, barcode, and grouping. Time-related information shows when the resource is available and how it is being used. Cost-related information describes the costs of resource usage and increases the production costs of the products that use the resource.
The resource type (machine, work, or other) controls the association with other objects: a machine refers to an asset, a work resource to an employee, and other resources to no other object.
Capacities
The daily standard capacity is entered by the user in a weekly table. However, it only forms the basis for calculations. The actual, so-called internal capacity is explicitly determined by the company for a capacity period of no more than one year. The individual run capacity indicates how many resource units are available for a single production order. The available capacity results from the internal capacity minus the confirmed quantity plus the ordered quantity minus the consumed quantity. SAP Business One displays shortages in red numbers, which the user resolves in the production order.
Costs and booking
The standard costs of a resource are recorded by the company in up to ten fields, for example separately for depreciation, energy costs, and maintenance costs per machine hour. If energy costs change, the company only adjusts this cost component. When production uses a resource, SAP Business One books it to the inventory account for work in process (WIA account resource). The standard expenses account serves as a counter-account. After the completion of the production, SAP Business One relieves the WIA account and increases the inventory of finished products.
Use in the bill of materials and production
Besides items and route segments, resources are the third component of the bill of materials. Their standard costs are included in the manufacturing costs of the semi-finished or finished product. Furthermore, resources are used to calculate the lead time for a production order. The user either manually enters the consumption in a separate transaction, or SAP Business One automatically enters it with the finished goods report when retroactively withdrawing the consumption.
A resource can also be linked to a non-stock item. This is useful when a service provider sells the resource, for example when renting a machine or providing person-hours. The linked item carries the resource number and assumes its standard costs. If the resource is also purchased, the material requirements planning can suggest the linked item for ordering.
Demarcation
A resource is not an item of work. The solution regarding work items is more historical in nature and originates from the time before the introduction of the resource. Therefore, if capacity is important for a company, the resource is recommended instead of an item of work.
