Custom Values are a tool in SAP Business One that automatically fills a field or provides the content from a predefined list of values. This standardizes input for companies, for example in the Position field for a business partner’s contact.
Use in the system
The user opens the custom values in a field using the Shift+F2 key combination. If no values have already been stored for the field, SAP Business One offers the option to add them. In the definition window, the user selects the „Search in existing custom values“ option and enters the desired values into a table. After that, the field displays a magnifying glass. A click on the magnifying glass or Shift+F2 opens the value list. As a second option, the definition window specifies the „Search in custom values based on a stored query“.
For decision-makers, the effect counts: The company standardizes field content because users choose from a predefined list. In finance, for example, custom fields and formatted searches can automatically fill in project and cost items in documents. However, both of these solutions are technically complex.
Demarcation
Custom values should not be confused with custom fields.
New features with Feature Package 2608
According to the SAP presentation regarding Feature Package 2608, a formula can be stored for custom values for a field that receives two additional control paths. The „On Events“ option updates the field value as soon as a business document or business object is added or updated. The „On Field Changes or Events“ option additionally updates the value when other field values change. Additionally, according to this presentation, custom values are also available for related overhead costs, inventory entries, beginning inventory balances, and resources. In the English system interface, they are called User-Defined Values (UDV).
