The user (usually the creator), who is working with a offer or quotation document in SAP Business One.
That Data ownership in SAP Business One is used to prevent access to sensitive or critical data - such as financial data, quotations or Commissions - and restrict it to certain groups of people. The Owner of a document plays a central role here.
Role of the owner of a document
- Access definition:
The owner of a document and users with a defined relationship to it (e.g. managers or team members) can access the document, depending on their authorisation. - Visibility of receipts:
Depending on the data ownership settings supporting documents only be visible to the owner and authorised users. - Protection of sensitive data:
Assigning an owner ensures that sensitive information can only be viewed by authorised persons.
Assignment of the owner
- Automatic assignment:
By default, the owner of a voucher is automatically assigned based on the user who created the voucher. - Manual change:
In certain cases, the owner can be changed manually, for example by a superuser or the manager of the current owner.
Example from practice
In a company with a sales team, quotations can be set so that they can only be viewed by the sales employee who created the quotation and their manager. This prevents unauthorised access by other sales employees to the quotations of their colleagues and ensures confidentiality.
