On Shared Folder (shared folder) is a centrally defined directory path in SAP Business One that allows multiple users or system components to access, save or export files together.

In SAP Business One, shared folders are used to centrally manage file attachments, export files and system files. These shared folders ensure consistency, traceability and accessibility - both in day-to-day work and in system-related processes.
Field of application:
Shared folders are used in various areas of SAP Business One:

File attachments:
- By default, attachments are stored in a local Windows directory.
- The path is displayed under administration → System initialisation → General settings → Path tab configured.
- Alternatively, network drives can be used as a shared storage location so that several employees have access to the same files.

Service Layer (Linux environment):
- To integrate attachments in the SAP Service Layer, a Windows folder must be integrated (mounted) on a Linux server.
- This requires a configuration in the file /etc/fstab and a login file with access data are required.

System Landscape Directory (SLD) Control Centre:
- Shared folders are used for central deployment processes for the CD repository and the List of minutes required.
- The network path, user name and password must be stored explicitly.

File export:
- A separate folder path can be defined for each export type (e.g. Excel, Word).
- These settings are also made via the Path tab in the general settings.
- For path changes, additional files such as AutoOpen.xls to the new folder.
- Optionally, direct export to cloud directories such as Microsoft OneDrive is possible.
Differentiation from similar terms:
In contrast to local paths refers to a Shared Folder to a network-wide accessible directory with a central access point. It is therefore a technical infrastructure component - not a business document archive.
Example:
A company uses a network drive folder \\Server01\attachmentsto store customer order documents so that they are accessible system-wide. The path is maintained in the system so that all employees automatically store their file attachments there. At the same time, the company uses the same folder for automated exports in Excel format.
Additional notes on system logic:
- Paths must be available for all users, especially in terminal server environments.
- Correct access rights (read/write) are essential for deployment operations.
- In Linux systems, the integration of Windows folders is technically demanding, but necessary for complete integration.
