E-invoicing in Germany: How to implement the obligation with SAP Business One

In the context of SAP Business One, the delivery address is a central data element in the Business partner master data, which defines the specific location to which goods or consignments are to be delivered and therefore plays a decisive role in the logistical handling of sales and purchasing processes.

The delivery address is part of the business partner master data and is maintained on the „Addresses“ tab. Payment addresses is managed. Customers and interested parties can have several delivery addresses, and a default value can be defined for each address. It is advisable to assign descriptive address IDs (e.g. „Berlin“, „Main warehouse“) so that the addresses can be identified more easily in documents. Existing delivery addresses can also be linked to a selected contact person. Addresses are automatically transferred from the business partner master data to marketing documents, but the standard delivery address in the document can be replaced by another address that has already been created. In most sales documents (e.g. Offers, Customer orders, deliveries, invoices), the delivery address appears on the „Logistics“ tab. The delivery address also influences the tax calculation, as in some countries the VAT code and tax rate are determined based on the delivery address.

In purchasing documents, the address of the warehouse that is linked to the first document line is usually used as the delivery address; in addition, it can be specified in the document settings that the warehouse address is always used as the delivery address in the purchasing document by default. The delivery address can also be changed line by line for sales orders, provided that the „Name delivery address“ field is shown in the form settings, so that items in an order can be sent to different delivery locations and the system generates separate delivery documents as a result. In special processes such as drop shipments, the delivery address of the order to the supplier is automatically set to the customer delivery address of the underlying sales order if the warehouse is defined as a drop shipment warehouse. With Stock transfers In turn, the documents contain fields for the business partner, contact person and delivery address, which is particularly relevant for stock transfers to a consignment warehouse at the customer's premises. Finally, as part of the available-to-promise (ATP) check, the lead time is defined as the time interval between dispatch from the dispatch centre and the expected arrival at the customer's delivery address.

Demarcation:
The delivery address differs from the billing or payment address in that it primarily describes the physical destination for the dispatch of goods, while billing and payment addresses are used for financial purposes. Although the billing address can be copied into the delivery address, subsequent changes to the billing address must be made manually in the delivery address. The delivery address must also be distinguished from the warehouse address: In purchasing documents, the warehouse address is usually used as the delivery address, yet the warehouse address remains the location of the warehouse in terms of content, while the delivery address represents the recipient location. In the context of Drop shipments and stock transfers, the delivery address takes on an extended meaning, as it is either transferred to the customer delivery address or functions as the customer-related destination address in stock transfer documents.
