Campaign (SAP Business One)

Versino Financial Suite

the campaign In SAP Business One, it is a process in the CRM module for marketing and pre-sales that targets a target group of business partners through a communication channel.

Target group

The basis is the existing business partners, whether customers or interested parties. The user defines the target groups in the Target Group window – Definition under Administration • Definitions • Business Partners. There, he fills in the fields Target Group Code and Target Group Name and selects the target group type Customer or Supplier. A double click on the number in the column # opens the Target Group Details window. He selects the business partners, for example, based on the criteria Code from/to, Customer group and Properties.

External data can also be included, for example acquired interested parties. The user stores a Microsoft Excel list as a text file with tab stops for this purpose. Subsequently, he imports it via the Import button in the Target Group Details window. In imported data sets, the check box in the Internal column is not activated.

System with the campaign assistant

The user creates a campaign directly in the Campaign window or using the Campaign Assistant. Both windows are located in the CRM module and can also be accessed via the Business Partner menu item. The Campaign Assistant guides the user through the campaign in five steps. In the Campaign Type field, the user selects the communication channel, for example email, fax, phone call, postal mail, or meeting (activity). The Campaign Template field contains HTML templates for the campaign text of an email campaign.

If the user activates the Create Activity checkbox in the third step, SAP Business One assigns an activity of the type Campaign to each business partner. In the fourth step, he selects the storage and execution options. By saving and ending the campaign, he can later run the campaign. By saving and executing the campaign, SAP Business One runs it through a communication channel.

The options available for the election are: create an external list, send an email via Microsoft Outlook, send an email via SAP Business One Mail, send a fax, and generate a URL. The external list is used, for example, as the basis for a mass email or for night-time calls. When sending via Microsoft Outlook, the addresses of all business partners of the campaign are included in the BCC field. When sending via SAP Business One Mail, the HTML template cannot be used. URL generation requires the integration framework (B1i). Step 5 provides a summary report with any errors and messages.

Track and evaluate campaign

After execution, the user runs the campaign in the Campaign window. On the Target Business Partner tab, the Reaction checkbox indicates that a business partner has reacted. The Reaction type field contains the predefined entries Interested and Not interested. The Status field contains the values Open, Cancelled, and Completed.

The campaign list under CRM • CRM report • Campaign list shows performance-relevant criteria. These include the number of responding business partners, the response rate, the number of generated leads, and the number of opportunities created. The list can be narrowed down by article, business partner, campaign number and type, status, target audience, and start and end dates.

Web Client

The Campaign feature is not yet available in the web client (as of 2026). Therefore, users use the classic client to create a campaign.

Demarcation

The entry „Campaign management“ describes the general marketing concept and the campaign process from planning, analysis, and control. This entry, however, describes the campaign as a process in SAP Business One. Interested parties are explained by the entry „Interested party / lead (SAP Business One)“, Opportunities by the entry „Opportunity (Sales opportunity) (SAP Business One)“.
