Function in the Activity window

The user opens the Activity window via Business Partner • Activity or CRM • Activity. In the upper left area, he selects the activity type in the Activity field. SAP Business One predefines the types. Depending on the selected activity type, the fields on the General tab change. For example, a task requires a status, a meeting requires an address.

Fine-grained organization by type and topic

In addition to the fixed activity type, the window offers the freely definable fields Type and Topic. Each topic belongs to a type. This allows companies to fine-tune all activities. An example: Activity Call, Type: Night Call, Topic: Track offer. Types are not technically linked to the activity types. Therefore, a neutrally defined type such as Sales can also be used for a meeting, a task, or a note. It is still advisable to define types so that they are content-related to an activity type.

The user adds a new type by selecting the "Define New" entry in the value list. A new topic automatically links SAP Business One with the currently selected type. For the service area, it is recommended to create a separate category, at least a separate type called Service.

Business significance

Note taking, memos, emails, phone records, contracts and written agreements can be stored as activities with attachments. The three fields Activity, Type and Topic structure this storage. This way, employees can quickly find the information. The campaign assistant also uses the activity type: it creates an activity of the type Campaign for each business partner when the user activates the checkbox Create activity in the third step.

Demarcation

The activity type is not the activity type. Users define the activity type under Administration • Definition • Personnel • Time Sheet • Activity Types in the time sheet. In project management, the activity type corresponds to the performance type in the activity. The overall context is described by the entry „Activities (SAP Business One)“.
