Gross profit is a key indicator of profitability and efficiency in sales. In SAP Business One, it is calculated as follows:
- Formula:
Gross profit = sales - directly attributable material costs - Calculation options:
The base price for material costs can be calculated via Administration > System initialisation > Document settings > General can be defined. The following options are available:- price lists
- Last purchase price
- Last determined price
- Standard production costs
- Manually entered price
The choice of base price depends on the company's cost structure and is determined at the latest when the delivery or service is created. A/R Invoice fixed.
Analysis of gross profit
SAP Business One offers several options for analysing gross profit in detail:
- Report gross profit on order:
This report allows a detailed analysis at order level. Changes to the base price can be made directly in the report to allow for more accurate material costs. - Sales analysis:
Shows the gross profit in absolute figures and as a percentage to recognise sales trends and profitability. - Context menu in sales documents:
The gross profit display is only used for simulation purposes and does not influence the reports.
Significance and benefits
Gross profit is of central importance for the management of the company:
- Positive gross profit:
Shows that a sales transaction contributes to covering costs and to the company's profit. - Negative gross profit:
Warns that the Material costs exceed sales - an alarm signal for price adjustments or cost optimisation. - Optimisation:
Analysing gross profit helps to adjust pricing, identify unprofitable products and improve overall profitability.
The Versino Financial Suite makes gross profit analysis in SAP Business One more efficient, transparent and flexible. It offers centralised overviews, extended filter and export options, drilldowns and automation.
Special use cases
- Continuous inventory management:
For companies with active inventory management, it is advisable to use article costs as the base price in order to allocate material costs accurately. - Drop shipment:
The gross profit calculation is more complex here, as drop shipment items often have no item price. A special analysis is required.
