Expense accounts are used to record the costs incurred in a company and are a component of the chart of accounts. Their values flow directly into the Profit and loss account (P&L) which gives them a central role in cost analysis and accounting.

Types of expense accounts

In SAP Business One, various expense accounts are used to precisely allocate specific costs:

  • Purchasing accounts: Recognises the cost of purchasing goods and services.
  • Expense accounts for domestic and foreign transactions: These accounts distinguish between costs incurred for national and international transactions.
  • Expense accounts for customs duties: Special accounts for recording customs duties incurred when importing goods.
  • Bank charge accounts: These accounts record the fees charged by banks for their services.

G/L account determination for expense accounts

the Account determination ledger accounts in SAP Business One determines which expense accounts are used for specific transactions. The standard criteria for this include

  • camp
  • item group
  • article

In addition, extended rules for G/L account determination can be defined to cover more complex requirements. This enables a precise allocation of costs and ensures an exact mapping of business transactions in accounting.
