Prepaid expenses and deferred charges (SAP Business One)

Definition: Prepaid expenses and deferred charges (RAP) are items in the balance sheet that serve to allocate expenses and income to the correct period. They are necessary if the time of payment or receipt of funds does not coincide with the time of the actual economic causation of an expense or the provision of a service and the associated income. A distinction is made between Prepaid expenses and deferred charges (ARAP) and deferred income (PRAP).

Importance in SAP Business One:

In the context of SAP Business One, accruals and deferrals play an important role in the correct presentation of a company's financial performance over different periods.

  • Prepaid expenses and deferred charges (ARAP): Arising when a company incurs expenses for services that will only be incurred economically in one or more future financial periods. For example, an insurance policy paid in December for the coming year.
  • Deferred income (PRAP): Revenue is recognised when a company receives income for services that it will only perform economically in one or more future business periods. A typical example is advance payments from customers for goods or services yet to be delivered.

Implementation in SAP Business One:

The standard functionality of SAP Business One offers No comprehensive automation for the creation and cancellation of accruals and deferrals. In the standard system, for example, the system recognises the full turnover of an outgoing invoice in the period of the posting date, even if the associated performance period extends over several periods. The standard does not automatically recognise income and expenses on an accrual basis.

In order to automate and simplify the processes of invoice accruals in SAP Business One Extension solutions (add-ons) required. One example of this is the Versino Financial Suite. Such add-ons enable:

  • Automated recognition of deferred income based on incoming and outgoing invoices and credit notes.
  • Automatic creation of the necessary journal entries for the accrual of amounts to the relevant periods.
  • Automatic reversal of deferred items in subsequent periods.
