E-invoicing in Germany: How to implement the obligation with SAP Business One

Of the Ending balance in SAP Business One refers to the current closing amount of an account, document or process - i.e. the balance after all relevant postings, payments or credits have been taken into account. The interpretation and function of the closing balance varies depending on the context.

Areas of application:

  • Account balance: Shows the current status of a G/L account after all journal entries. Visible in the chart of accounts; clickable via the orange arrow for detailed view. Displayed in local or foreign currency, depending on the account setting.
  • Balance due in documents: Gives at bills indicates the outstanding balance that has not yet been paid. Calculated from the total amount minus payments or credit notes already made.
  • Payment assistant: The final balance to be paid is displayed in the "Recommendations" step. This amount can be edited and is based on the linked payment method and the business partner's open items.
  • Financial reports: In balance sheets and other analyses, the balance shows the difference between the debit and credit entries of an account on the reporting date. The basis for asset, liability and capital presentations.
  • Voting balance: Difference amount for internal reconciliations, e.g. between system currency and foreign currency, with the option of posting a difference transaction.

Special functions:

  • In the Document settings a permissible balance range can be defined. A warning or booking block is issued if the balance exceeds or falls below this range.
  • In the Incoming payment shows the column "Open" the closing balance of open items with the respective business partner.

Example: A supplier issues an invoice for € 5,000. 2,000 has already been paid. The Final balance due in the voucher is €3,000, which is proposed for further processing in the payment wizard.
