Stock account (SAP Business One)

The stock account reflects the closing stock value, which is calculated for each Portfolio transaction is recorded in SAP Business One. To support transactions in different currencies, the stock account currency must be set to "All currencies" must be set. In this case, the account balance is not managed in foreign currency and foreign currency adjustments are not possible. Therefore, the balance of the balance sheet account in foreign currencies has no meaning.

Reports and booking mechanisms

The stock check report shows the stock quantities of an item for a selected warehouse or a Storage binz on a specific reporting date. This information is based on the calculation method that takes into account the creation date or posting date of the transactions. For a goods receipt, the corresponding amount is posted both to the stock account and to the corresponding G/L account in the journal entry.

Use of additional accounts:

  • WE/RE clearing account: This account serves as an offsetting account for the stock account for goods receipts and returns. The balance of this account shows the total value of open goods receipts and returns.
  • Variance account: This account is used in warehouse management systems with a standard price. If there is a difference between the standard price and the actual price, this is recorded here.
  • Price difference account: It is used when the stock of an item is reduced to zero. The difference between the transaction amount (e.g. from incoming credit notes or purchase returns) and the cumulative value of the item is posted to this account.
  • Offsetting account for a balance sheet account: This account is used for production transactions and for value changes during the production process. The prerequisite for this is the activation of the option "Posting with balance sheet and income statement accounts" in the window Document settings (Tab Per receipt).

Other special features of inventory management:

A separate line is created in the journal entry for each outgoing and incoming transaction. Negative and positive variances in the inventory value are not consolidated, even if costs and prices are identical. As a result, the inventory audit report lists both variances in separate lines.

Customer and sales bookings

SAP Business One summarises all sales to customers in a collective account so that the current total turnover is visible at all times. At the same time, all transactions are posted to the respective customer accounts to enable clear allocation.
