A successful implementation of CKS.EINVOICE requires careful planning. Clarify the following points before installation:

1. Define e-invoice formats

  • Which formats does your company need?

  • Clarify with your business partners which formats they support to ensure smooth processing.

2. Analyse shipping and receiving routes

  • How should e-invoices be sent and received?
    • Options such as E-mail, Portals or the connection to a EDI-System are available.
  • Analyse your current processes and determine which method is best suited to your company.

3. Identify automation potential

  • Which invoicing processes would you like to automate?
    • Examples: Automatic reading and posting of incoming invoices.
  • Define the processes to be automated by CKS.EINVOICE in order to maximise the benefits.

4. Determine licence requirements

  • Which employees need access to CKS.EINVOICE?
    • Licence costs are based on the number of users who create or process e-invoices.
  • Identify all relevant employees.

5. Check additional modules

  • Would you like to use modules such as CKS.RUN or CKS.DMS integrate?
    • CKS.RUNAutomation of processes
    • CKS.DMSDocument management
  • Evaluate the benefits and costs of these additional functions.

6. Ensure data availability

  • If the required data in SAP Business One available and correctly maintained?
    • Important data: Tax number, IBAN, routing ID.
  • Check that all relevant information is complete and error-free.

7. Clarify individual adjustments

  • Will the standard formats of CKS.EINVOICE be sufficient, or do you need customisations?
    • Customised adaptations can be supplied as special packages by CKS.SOLUTION are provided.
  • Clarify the need for format adaptations at an early stage.

The company data can be added to the user-defined table CKS_EINVOICEIDS.

If required, further company-specific data can also be entered here. In this case, the PEPPOL-BT number to identify the field.

The article numbers are not checked in XRechnung format. However, if a specific agreement has been made with the customer regarding the format of the item number the agreed article number can be exported to the XML file. To do this, the "Standard article number" field in the article master must be filled in. In addition, a schema must be stored in the corresponding table. You can find an overview of possible schemas under: Peppol ICD schemes.

If the business partner has no specific requirements, the GTIN system (Global Trade Item Number) can be used, for example. Further information on this can be found under: GTIN standards.

GTIN and other schema definitions can also be entered into the database via Excel import. This requires an Excel table that is saved as a text file. The goods classification is also validated in an XRechnung. The possible options can also be imported from an Excel spreadsheet. You can find a corresponding list under: UNCL7143 classification of goods.

There are numerous options available, which must be selected in consultation with the customer to determine the appropriate scheme. An example of an XInvoice:

The units of measure should also be checked. A list of permitted values is available for PEPPOL: UNECE Recommendation 20.

The following fields must be completed in order to create an XRechnung in SAP Business One:

  • Contact person of the customer: Name, telephone number and e-mail address are required.
  • Customer reference number: Must be specified.
  • Sales employee: Name, telephone number and e-mail address must be entered in full.

The UDF fields always indicate the current status of the eInvoice. The "CKS.eInvoice Generate New" field can be used to generate the eInvoice again if required.
